Our client in Downtown Toronto has a need for a Legal Administrative Assistant to join its Real Estate Department on a One (1) Year Contract within the Toronto Office. The successful candidate will be part of a sharing group, providing administrative support to two lawyers. The hours of work are generally from 8:30 am to 4:30 pm, and overtime and a flexibility to meet demands of the role is required.
JOB DUTIES
• Proficient word processing and preparing, organizing and filing a variety of practice related documents;
• Draft routine correspondence to clients and other solicitors;
• Prepare and co-ordinate litigation material;
• Deal directly with clients, other solicitors from other firms (and their assistants and clerks) in respect of various issues which arise during a transaction;
• Organize application materials;
• Scheduling of appointments and making travel arrangements to maintain a very busy calendar;
• Prepare Lobbyist and SEDI Registrations;
• Entering and maintaining on a timely basis lawyers’ dockets in Elite;
• Draft accounts; manage the billing of significant clients in accordance with the specifications of the client’s needs;
• Prepare forms such as cheque requisitions and expense reports;
• Opening, maintaining and putting away files;
• Transcribing voice messages;
• Demonstrating a team attitude with an accountability/confidentiality to both internal and external clients;
• Dealing with, and responding to client inquiries and providing excellent customer service at all times.
QUALIFICATIONS:
Minimum three (3) to five (5) years of solid working experience in Real Estate Law.
Salary is negotiable.
